What makes a useful plumbing or electrical work order

A useful work order identifies the property and describes the observable symptom. It does not need to prescribe the repair.

Work-order issue, access and approval details

Under “issue”, record the room, fixture or circuit, the start time and current status. Under “access”, record the occupant or site contact and relevant building instructions. Under “approval”, record the work-order reference and nominated decision-maker.

This structure is useful for a leaking fixture, a slow drain, a tripping circuit or failed lighting because it separates facts from assumptions.

Fault assessment and requested work

Write “kitchen sink drains slowly and backs up during use” rather than instructing a pipe replacement without inspection. Write “bedroom outlets lost power” rather than directing a switchboard replacement from an occupant report. The work order should give the service team an investigation goal while preserving the original observations.

For multiple tasks, record each room, fixture and reported behaviour on its own line. Separate plumbing from electrical items and distinguish faults from planned installation. This prevents a repair quote being mistaken for approval to complete every improvement mentioned in an email.

Assessment, repair and spending approvals

Identify who can approve the visit, the proposed repair and additional findings. If the owner or manager has an internal approval limit, record it with the work order and explain how further approval can be obtained. An internal limit is not itself a quoted service price.

The written quote should describe inspection, repair or installation tasks and what is excluded. For concealed plumbing, access openings and surface restoration need their own scope. For electrical work, investigation and any new wiring or replacement equipment should be distinguishable. See leak detection and repair scope and electrical fault assessment for service examples.

Completed work and outstanding recommendations

Keep the approved quote, work performed and separate follow-up items with the property reference. Record completed repairs, inspection findings and recommended follow-up work separately.

For entry arrangements, use the separate access information checklist. For the occupant-to-manager report, use our maintenance handover guide. Send the work order through our managed-property repair service when you want an on-site assessment and written quote.

Work-order approval questions

Is a spending limit enough to define a work order?

No. State the requested assessment or work, the property, any exclusions and who can approve changes. A limit alone does not explain which task is authorised.

What should happen if the assessment changes the proposed repair?

Record the finding and revised scope against the same work-order reference. Follow the nominated approval pathway before assuming that the original instruction covers additional or different work.
